Privacy policy
Effective October 8, 2026
BinRoster is software that dumpster rental companies use to run their business. We collect what the software needs to work, and nothing for advertising.
We don't sell personal information, we don't use advertising or tracking cookies, and we only send text messages to people who have agreed to receive them.
Who we are
BinRoster is provided by Jacob Hart ("BinRoster", "we", "us"). This policy covers this website, the BinRoster web application, the BinRoster driver app, online booking pages and customer portals that run on BinRoster.
Our customers are roll-off and dumpster rental companies, which we call "operators". Operators use BinRoster to keep records about their own customers, job sites and employees. For those records, the operator decides what is collected and why, and we handle the information on the operator's behalf. Section 7 explains what that means for you if you rent a dumpster from one of our operators.
What we collect
Account information
When you create an account or are invited to one: your name, email address, the company you work for and your role. We store your password only as a one-way hash, and if you turn on two-step sign-in we store the authenticator key in encrypted form.
Business records operators enter
Customer and contact names, email addresses, phone numbers, billing and job site addresses, quotes, rentals, container and truck records, scale tickets, invoices, payments, notes and the history of changes to these records.
Information from drivers
While a driver is signed in to the driver app and on shift, the app records the phone's location so the office can see trucks on the dispatch map and confirm where containers were placed. Location is not recorded when the driver is off shift. Drivers can also take photos, collect signatures and record scale tickets at a stop.
Information from people who book or pay online
When you book a dumpster or pay an invoice through an operator's booking page or customer portal: your name, email address, phone number, service address, placement instructions and, if you choose, a pin showing where the container should go. Card and bank details are entered directly into Stripe's secure payment form. We receive only limited details such as the card brand, the last four digits and whether the payment succeeded; we never see or store full card or bank account numbers.
Messages
The content of emails and text messages sent through BinRoster, their delivery status, and records of text message consent and opt-outs.
Technical information
Our servers keep operational logs that record which part of the service was used, the response code, how long it took and a pseudonymous account identifier. When something breaks, we send an error report to our monitoring service. Before an error report or log leaves our systems, we strip out email addresses, phone numbers, street addresses, locations, payment numbers, passwords, tokens and request contents. We do not use analytics or advertising trackers on this website or in the application.
How we use it
- To provide the service: bookings, dispatch, driver routes, invoices, payments, reminders and reports.
- To send the emails and text messages that operators and their customers have asked for, such as booking confirmations, delivery updates, invoices and receipts.
- To keep accounts secure, for example password reset links, sign-in alerts and detecting misuse.
- To find and fix problems, and to measure whether the service is fast and available.
- To bill operators for their BinRoster subscription and to provide support when asked.
- To meet legal, tax and accounting obligations.
We do not use the records operators keep about their customers for our own marketing, and we do not sell them.
Cookies and device storage
The web application uses one cookie, which keeps you signed in. It is required for the application to work, so there is no setting to turn it off. This website itself sets no cookies.
The driver app stores the day's stops and any work done without signal on the phone, in an encrypted database tied to the signed-in driver, so that deliveries can be recorded without cell service. It is sent to the office when the phone reconnects.
Maps in the application load map images from a map provider. Like any website request, this shares your device's IP address with that provider, but not who you are or what you're looking at in BinRoster.
Text messages
Operators can send text messages about service, such as delivery and pickup updates, through BinRoster. We only send these to a mobile number whose owner has agreed to receive them, and we keep a record of that agreement. Message frequency varies with your rentals. Message and data rates may apply. Reply STOP to stop receiving messages and HELP for help.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. BinRoster does not share mobile numbers or text message consent with anyone for their marketing or promotional purposes. Mobile numbers are shared only with the text message provider that delivers the messages. See the SMS terms and how opt-in works.
Who we share it with
We use the following service providers to run BinRoster. Each receives only what it needs to do its job for us, under contract.
| Provider | What it does for us |
|---|---|
| Cloudflare | Hosting, file storage for photos and documents, network security |
| Neon | Database hosting |
| Amazon Web Services | Second copy of our encrypted backups |
| GitHub | Runs our encrypted backup and restore jobs |
| Stripe | Card and bank payments for operators, and BinRoster subscription billing |
| Resend | Email delivery |
| Twilio | Text message delivery |
| Geocodio | Turning service addresses into map locations |
| Map and routing providers | Map images, driving routes and arrival estimates |
| Expo, Google and Apple | Push notifications to the driver app |
| Sentry | Error reports, with personal details removed |
| Axiom | Operational logs, with personal details removed |
| Better Stack | Uptime monitoring (no personal information) |
| Intuit QuickBooks | Accounting sync, only if an operator connects it |
We may also share information:
- With the operator whose account the information belongs to, and with the people that operator authorizes.
- When required by law, or to protect the rights, safety or property of our users, the public or us.
- As part of a merger, acquisition or sale of assets, in which case this policy continues to apply to the information transferred.
We do not sell personal information and do not share it for cross-context behavioral advertising, as those terms are defined under California law.
Information about an operator's customers
If you rent a dumpster from a company that uses BinRoster, that company is responsible for your information and its own privacy practices. We process your information on its behalf and follow its instructions. If you want to see, correct or delete your information, please contact the company you rented from. If you contact us instead, we'll pass your request to that company and help it respond.
How long we keep it
| Information | How long |
|---|---|
| Driver location history | 30 days, then deleted automatically |
| Invoices, payments and other financial records | Up to 7 years, for tax and accounting obligations |
| Account and business records | While the operator's account is open, then deleted on request or when no longer needed |
| Error reports and operational logs | Up to 90 days |
| Encrypted backups | Expire on a fixed schedule of no more than 12 months |
How we protect it
- All connections use HTTPS encryption.
- Each operator's records are separated in the database, and every request is checked against the signed-in company.
- Passwords are hashed, two-step sign-in is available, and staff access ends immediately when someone is removed from a team.
- Backups are encrypted and stored in two separate places, and we regularly test restoring them.
- Information stored on drivers' phones is encrypted.
No system is perfectly secure. If a breach affects your personal information, we will notify you as the law requires.
Your choices and rights
You can view and correct your account details in the application at any time. Operators can export all of their records as CSV files. Depending on where you live, you may also have the right to:
- Know what personal information we hold about you and get a copy of it
- Correct information that is wrong
- Have your information deleted, unless we must keep it, for example for tax records
- Opt out of the sale or sharing of personal information (we do neither)
- Not be treated differently for using these rights
To make a request, email hello@binroster.com. We will confirm your identity before acting on it and respond within 45 days. An authorized agent may make a request for you with your written permission.
Children
BinRoster is a business service and is not directed to children under 16. We do not knowingly collect information from them.
Changes to this policy
When we change this policy we will update the effective date above. If a change materially affects how we use personal information, we will email account owners before it takes effect.
